Invite users and manage their roles

Invite someone using their email address, track the invitation, and choose what they can manage.

Only an Admin can open Users or Invites, create or revoke invitations, send invitation emails, and change roles.

Choose the right role

Decide on the role before you create the invitation:

  • Admin has full control of the church account. Admin-only areas include Settings, Integrate, Custom Home Page, Users, Invites, and Billing. Admins can also delete content and use Lock: only admins can edit on sermons.
  • Manager can create and edit content, including sermons, preachers, series, meeting types, tags, images, playlists, transcripts, and audiograms where those features are available. Managers cannot edit an Admin-locked sermon or use the Admin-only areas above.

Give Admin access only to the people who genuinely need control of settings, users, or billing.

Create and send an invitation

  1. Go to Invites, or open the invites page directly.
  2. Under New Invite, enter the person's Email. Use the address they will use to sign in.
  3. Under Role, choose the Manager or Admin option.
  4. Select Create Invite.
  5. Find the new Pending invitation in the table.
  6. Select Send email invite.

Creating the invitation does not send an email on its own. Sending is a separate step so you can check the address and role first.

If the recipient needs another copy, select Send email invite again while the invitation is still pending.

What the recipient does

The recipient follows the link in the invitation email and signs in, or creates an account using the exact address you invited.

  • If they create an account and verify that email address, we accept any pending invitations for it at the end of signup.
  • If they already have an account, they can open the church picker and accept or reject the invitation there.
  • A different or unverified email address cannot accept the invitation.

Once accepted, the invitation shows as Accepted and the person appears under Users with the role you chose. If they decline, it shows as Rejected.

Check status or revoke an invitation

The Invites table shows the email, role, status, and creation date.

For a pending invitation:

  • Send email invite sends the invitation message.
  • Revoke cancels it and removes it from the table. The old invitation can no longer be accepted.

Accepted and rejected invitations stay in the table as a record and have no actions. Revoking a pending invitation does not remove someone who already has access from an earlier one.

Change an existing user's role

  1. Go to Users.
  2. Find the person's email address.
  3. Choose Admin or Manager under Role.
  4. Select Save on that row.

Every church needs at least one Admin, so changing the last Admin to Manager does nothing. Promote someone else first, then change the original Admin.

Role changes only apply to the church you are in. The same person can hold a different role in another church they help with.

If this did not work

  • You cannot see Users or Invites: Both areas are Admin-only, so ask one of your church's Admins.
  • The recipient did not get an email: Check that you selected Send email invite, check the address and their spam folder, then send it again while the status is Pending.
  • The invitation does not appear for the recipient: They need to sign in with, and verify, the exact address shown on the invitation.
  • The invitation has the wrong address or role: Revoke it while it is still Pending, then create a replacement.
  • An Admin cannot be changed to Manager: Make sure at least one other Admin is left on the church.
